Notey is a meeting notetaker that runs on your Mac. This describes exactly what it stores, what it sends, and what you can delete. Where a section says “does not”, that is a statement about how the software is built, not a promise about how it is operated.

What stays on your Mac

Your recordings. Audio is written to your Mac's application support folder and read from there. It is not uploaded in order to be transcribed, and there is no fallback, debug mode or crash report that sends it.

Transcription. Speech recognition runs on the device using the model macOS provides. No audio is sent to a server for this.

Voice recognition, if you turn it on. Notey can learn to recognise a person you have named, so it suggests their name in later meetings. This is off unless you switch it on. See below.

Everything, if you never sign in. Recording, transcription, speaker separation, search and reading your meetings back need no account and no network.

What is sent, and when

Transcript text, when you ask for something written

Pressing Summarise, generating a note, or asking a question about a meeting sends the finished text of that meeting's transcript, and the names you have given the people in it, to our service, which passes it to OpenAI to produce the result. The audio is never sent. Nothing is sent until you ask.

OpenAI processes this as a data processor and does not use it to train models. We do not retain the transcript after the response is returned.

Your email address, if you create an account

An account exists so the AI features can be paid for and so your meetings can sync between your own Macs. We store your email address and your subscription status. Signing in with Google gives us your email address and nothing else — no contacts, no Drive, no Gmail.

Your calendar, only if you connect one

If you connect Google Calendar, Notey reads your events so it can notice a meeting is starting and offer to record it. It requests read-only access. It does not create, change or delete anything, and calendar contents are not sent to the AI.

Notey's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is not sold, not used for advertising, and not used to train AI models.

Usage, for billing

We record how many minutes were summarised and on which day. A usage record carries no meeting title, no participant, and no text of what was said.

Encrypted backup

Backup is optional. When it is on, each meeting is encrypted on your Mac before it leaves, using a key derived from a recovery key that exists only on your Macs. We hold ciphertext and cannot read it. Audio is included only if you separately switch that on.

If you lose your recovery key, we cannot recover your backup. That is a consequence of not holding the key, not an oversight.

Voice recognition and voiceprints

This feature is off by default and does nothing until you turn it on.

When it is on, naming a speaker in a meeting computes a mathematical representation of that voice — a voiceprint — and stores it on your Mac. In later meetings a similar voice is offered as a suggestion, which you accept or reject. Notey never applies a name by itself.

A voiceprint is created only when you deliberately name somebody. None is created by recording or transcribing. Voiceprints are stored per meeting, so deleting a meeting removes its contribution, and “forget this voice” deletes them entirely. They are never sent anywhere in the clear; if you use encrypted backup they are sealed with everything else.

A voiceprint may constitute biometric data under laws including the GDPR and the Illinois Biometric Information Privacy Act. If you enable this feature in meetings with other people, you are responsible for having whatever notice or consent your jurisdiction requires from them. We provide the switch, the list of who is stored, and the means to delete.

What Notey never asks for

Notey does not request Screen Recording permission. It captures the sound your Mac is playing through a Core Audio process tap, which needs no such permission, and it cannot see your screen.

Your data, and removing it

• Delete a meeting and its recording, transcript, notes and backup contribution go with it.
• Forget a voice and its voiceprints are deleted; names already written into past transcripts remain as ordinary text you typed.
• Sign out and the credential is cleared from your Mac. Your meetings stay where they are — they are yours and local.
• To delete your account and anything we hold, email the address below and we will do it.

Children

Notey is not directed at children under 16 and we do not knowingly collect their data.

Changes

If this policy changes in a way that affects what is sent or stored, the change will be described here with a new date rather than replaced silently.
