Recording a Zoom call when you're not the host: what's allowed

Zoom's host permission controls Zoom's recorder, not the law or your organisation's rules. What each decides, and how to ask to record a call you don't host.

In short

When you are not the host of a Zoom meeting, Zoom's own recorder is not yours to start: the host has to grant you recording privileges or make you an alternative host.

A recorder that runs on your Mac does not ask Zoom, so Zoom's permission does not apply to it. But Zoom's permission was never what decides whether you may record a conversation. The law where the participants are, your organisation's or client's rules, and the other people's agreement decide that, and none of them change with the app you use.

This guide separates those layers, explains what Zoom's permission does and does not control, and suggests how to ask.

Three separate questions

When people ask whether they can record a Zoom call they do not host, they are usually asking three things at once.

A tool can only ever answer the first. The other two are the ones with consequences.

What Zoom's host permission controls

Zoom's permission governs Zoom's own recording features. According to Zoom's support pages as of September 2026:

  • For a recording to your computer, the host must grant recording privileges to the participant during the meeting, or make them an alternative host. (Zoom: starting recordings without the host)
  • Accounts can be set up so that a meeting records to the cloud automatically when participants join before the host, if the host scheduled it that way.
  • Local recording has to be enabled on the account at all. (Zoom: enabling computer recording)

When Zoom records, it shows participants that it is recording and asks them to consent. That notice is part of why hosts are comfortable granting permission: everyone sees what is happening.

What it does not control

The host's permission is not a legal permission, and a missing permission is not a legal prohibition. It is a product setting.

  • The law. In some places one party to a conversation may record it; in others everyone must agree. On a call with people in several places, the safest assumption is the strictest rule among them.   • Your organisation's rules. Many employers have a policy on recording meetings, whoever hosts them.
  • Your client's rules. Contracts and NDAs sometimes say whether calls may be recorded, and where recordings may be stored.

A recorder on your Mac — Notey, or any other — captures what your Mac plays, so it does not need the host's permission to work. It still needs everyone's to be the right thing to do.

Why "the host didn't say no" is not enough

If the host has not granted recording, there are two likely reasons: nobody asked, or they do not want the call recorded. A recorder that does not show up in Zoom gives them no chance to say which. Recording anyway, and hoping nobody notices, is the situation that goes badly — legally in all-party consent places, and personally everywhere.

The honest routes are simple.

How to ask

  1. Ask before the call if you can. A line in reply to the invite: "Would you mind if I record this for my notes? I'll keep it to myself and delete the audio once the notes are done."
  2. Ask again at the start. "Before we begin — is everyone all right with me recording for notes?" People who did not read the email hear it.
  3. Offer the host the choice of recorder. They can grant you Zoom recording privileges from the participants list, so everyone sees Zoom's notice. Or they may prefer you to record on your own machine, so nothing is stored in their Zoom account.
  4. Accept a no. Take notes by hand, and ask afterwards for any figures or decisions you missed.

If everyone agrees: recording on your Mac

Once people have agreed, a recorder on your Mac is often the simplest option for a participant, because it does not need anything from the host's Zoom account and keeps the recording off it.

Can a participant record a Zoom meeting?

With Zoom's recorder, only if the host grants recording privileges during the meeting or makes them an alternative host, according to Zoom's support pages as of September 2026. Otherwise the participant has to ask.

If an app on my Mac can record without the host's permission, is that allowed?

The app not asking Zoom does not make the recording allowed. Whether you may record depends on the law where the participants are, your organisation's or client's policy, and what the people on the call have agreed to. Ask them.

How do I ask the host to let me record?

Ask before or at the start of the call, say why and what you will do with the recording, and accept a no. Zoom also lets hosts grant recording to a participant from the participants list during the meeting.

Will the host know if I record with a separate app?

Zoom will not tell them, because a separate app is not part of the call. That is exactly why you should tell them yourself.
