Alternatives to Copilot meeting notes in Microsoft Teams

Copilot and intelligent recap in Teams depend on licences, tenant policy and usually a transcript. When they fit, when not, and what a Mac recorder changes.

In short

Copilot in Microsoft Teams and Teams' intelligent recap produce meeting notes inside Teams, stored in Microsoft 365. If your organisation has the licences and has switched them on, they are the natural choice for internal Teams meetings.

They are not available when you lack a licence, when the tenant has not enabled them, when you are a guest in another organisation's meeting, or when the meeting is not in Teams.

This guide sets out what Microsoft's documentation says Copilot and intelligent recap need, as of September 2026, then the alternatives, including a recorder on your Mac such as Notey.

What Copilot in Teams meetings needs

From Microsoft's documentation (Copilot in Teams meetings: transcription options):

  • A licence. "An add-on Microsoft Copilot license for intended users." Each licensed participant can ask Copilot questions that only they see.
  • An organiser option. The organiser's meeting options for Copilot are "During and after the meeting", "Only during the meeting", or "Off".
  • Usually a transcript. The tenant policy's default is "On with saved transcript required", which Microsoft describes as enforced: organisers cannot change it. So by default, Copilot in a meeting means transcription is on.
  • Without a transcript, only if an admin allows it. With "Only during the meeting", Copilot uses speech-to-text data "that isn't saved after the meeting or event ends". Microsoft notes that prompts and responses may still be retained for compliance under the organisation's retention policies.
  • External participants. "If a licensed external participant joins a meeting or call with this option enabled, they won't be able to interact with Copilot." (Microsoft support)

What intelligent recap needs

From Microsoft's documentation (Intelligent recap):

  • A licence: Teams Premium or Microsoft Copilot.
  • Transcription on. "To allow your users to use intelligent recap, you must turn on transcription."
  • Recording, for the full recap. Without a recording, users get the recap without the recording, speakers, topics and chapters.
  • Storage in Microsoft 365. Video recap data is stored with the meeting recording in OneDrive or SharePoint.

When Copilot or recap is the right tool

For an organisation already on Microsoft 365 with Copilot or Teams Premium, the built-in tools have clear advantages:

  • nothing else to buy, install or get approved;
  • notes stay inside the tenant and its existing retention and compliance policies;
  • the recap is attached to the meeting where colleagues expect to find it.

When it doesn't work

  • No licence. Copilot and Premium are add-ons; many users do not have them.
  • The tenant has not enabled it, or has set policies that do not fit a particular meeting.
  • You are a guest. In another organisation's meeting, their tenant's settings apply, and external participants have limited or no access.
  • A transcript is not acceptable. The default Copilot setting requires one. Some clients do not want their meetings transcribed and stored by the host's organisation.
  • The meeting is not in Teams. Zoom, Meet and phone calls need something else.

The alternatives

A notetaker bot

A third-party bot can join the Teams meeting and take notes, if the organiser admits it and the tenant allows external bots. It records into the vendor's cloud. Many organisations restrict this.

A recorder on your Mac

A recorder on your own computer captures your microphone and the sound your Mac plays. It needs no licence, no tenant setting and no permission from Teams, and works the same in Zoom, Meet or anything else. Teams does not know it is running and shows no notice, so telling people is up to you, and your organisation's policy on recording still applies.

How Notey fits

Notey is a recorder of that kind, for Macs with Apple silicon and macOS 26 or later.

  • Any Teams meeting, organiser or guest. Notey records your microphone and the Mac's audio as two separate tracks. Nothing joins the call.
  • It asks first. When the Teams app starts a call, Notey's floating button says so and saves nothing until you press Allow. Teams in a browser is noticed when the browser uses the microphone.
  • Transcribed on the Mac. The audio stays on your disk and is not uploaded.
  • AI notes when you ask: a summary and action items, minutes, a follow-up email, tough questions, or where the two sides differed. Only transcript text is sent, to Notey's service and on to OpenAI as a processor; not used for training, not kept by Notey. Everything the AI wrote is labelled.

What it does not do: store notes in your Microsoft 365 tenant, share them with attendees, or apply your organisation's retention policies. Notey has no integrations; you export notes as Markdown. If your organisation requires meeting records to live in Microsoft 365, the built-in tools are the ones that meet that requirement.

Which fits

Copilot or intelligent recap is likely the better fit if you have the licence, you mostly organise internal Teams meetings, and your organisation wants notes kept in Microsoft 365.

A Mac recorder such as Notey is likely the better fit if you are often a guest in other organisations' meetings, you have no Copilot or Premium licence, your meetings are spread across several apps, or you want the recording and transcript to stay on your own Mac.

Frequently asked questions

What licence do I need for Copilot in Teams meetings?

Microsoft's documentation lists an add-on Microsoft Copilot licence for the users who will use it. Intelligent recap needs a Teams Premium or Microsoft Copilot licence.

Can Copilot in Teams work without a transcript?

Microsoft documents an "Only during the meeting" option that uses speech-to-text data not saved after the meeting. By default, though, the tenant policy requires a saved transcript, and an admin has to change it.

Can guests use Copilot in someone else's Teams meeting?

Microsoft says a licensed external participant cannot interact with Copilot in a meeting where it runs without a transcript. Rules differ by option and tenant, so check with the organiser.

Can I take AI notes of a Teams meeting without Copilot?

Yes, with a tool that does not depend on Teams: a notetaker bot, if the organiser admits it, or a recorder on your own computer, which needs nothing from Teams.
