Notion AI Meeting Notes transcribes calls from the Notion app into a page. When it fits, and what a Mac notetaker that transcribes locally does instead.

Notion AI Meeting Notes transcribes a meeting from inside Notion and writes a summary and action items into the page you are working in. If your team already keeps everything in Notion, that is a strong reason to use it: the notes arrive where people will look for them. People look for an alternative for a few specific reasons: they are not on a plan that includes it, they want the transcript made on their own computer, they want the recording kept, or they work outside Notion. This guide covers what Notion's feature does, and what a Mac notetaker such as Notey does differently.

How Notion AI Meeting Notes works

Notion says the feature "takes detailed meeting notes for you… Notion AI transcribes your meeting and identifies key points and action items". It is "available on the Notion app and browser. The Notion app provides the best experience, especially for video calls, because it captures all sides of the conversation using your system audio and mic. The browser… can only pick up audio from your microphone." The mobile app records through the phone's microphone.

Requirements, per the same page: a Business or Enterprise plan, the Notion desktop app at version 4.7.0 or later, and macOS 13 or later on a Mac.

Consent: when you start transcribing, Notion says "you're confirming that everyone in the meeting has given their consent", and it offers a consent message you can paste into the meeting chat or play aloud.

Languages: English, Chinese, Spanish, French, German, Japanese, Korean, Portuguese, Russian, Thai, Vietnamese, Danish, Finnish, Norwegian, Dutch and Swedish. Speaker labelling is English only. It does not work offline.

Where the audio goes

Notion transcribes through sub-processors it names (OpenAI, Anthropic, Fireworks, Baseten, xAI and AssemblyAI), and says "sub-processors do not store audio. A temporary copy of audio is stored locally on your device during the session." If real-time processing fails, uploaded audio is kept by Notion for up to 3 days, and the local copy is deleted after processing or within 24 hours. (Notion help)

Notey records the audio to your Mac and transcribes it there with Apple's speech recognition. It is never uploaded to be transcribed. With no account, nothing leaves the Mac. When you ask for AI notes, or when a meeting ends with write-ups on, the transcript text, never the audio, goes to Notey's service and on to OpenAI as a processor; it is not used for training and not kept by Notey. So the two differ the way most notetakers do: Notion keeps no recording but sends the audio to be transcribed; Notey sends no audio but keeps the recording on your disk.

Getting notes into Notion from another tool

Notion's feature has an advantage no separate app can match: the notes are already in the right page. With any other notetaker you move them yourself.

With Notey:

  1. Open the meeting and the note you want, such as the summary or the minutes.
  2. Click Export and choose the Copy item for that note. It copies the note as Markdown.
  3. Paste it into the Notion page. Headings and lists come across, and so do the labels that mark what the AI wrote and what you edited.

The transcript on its own exports as plain text. Meeting notes in Obsidian or Notion covers where to keep them, and exporting meeting notes as Markdown covers the export itself.

What an alternative can add

  • Transcription on the device. Notey never sends audio to be transcribed.
  • A recording kept. Every transcript line plays from its timestamp; a whole-meeting overview shows your side above and theirs below.
  • Two tracks. Your side and theirs are separate recordings, labelled You and Them; on the other side, voices are told apart after the recording, in any language it transcribes.
  • Works offline. Recording, transcription, speaker separation and search need no account and no network.
  • Noticing calls. Notey notices calls in Zoom, Teams, Slack, FaceTime and supported browsers and asks before recording; other apps, press Start.

Where Notion AI Meeting Notes is stronger

  • Notes in the workspace, next to the project they belong to, visible to the team.
  • No extra app for a team already on Notion Business or Enterprise.
  • Windows, browser and phone, and Macs from macOS 13.
  • Languages: 16, against Notey's 10.
  • A consent message built in.

Before you switch

Notey does not import from Notion or any other tool, so past meeting pages stay where they are. Check three things before moving your calls:

  • Your Mac. Notey needs Apple silicon and macOS 26 or later.
  • Your language. Notey transcribes in the Mac's language, one per meeting. A meeting in Thai or Russian, which Notion covers, is not one Notey can transcribe.
  • Your team. If colleagues read meeting notes in Notion, someone has to paste them there. For a team that shares every meeting, that is a real cost.

Which one fits

Stay with Notion AI Meeting Notes if:

  • your team keeps its work in Notion and is on a plan that includes it;
  • the notes need to be shared in the workspace;
  • you use Windows or an older Mac.

Consider a Mac notetaker such as Notey if:

  • the audio should not be sent to be transcribed;
  • you want the recording kept to replay;
  • you want to record with no account or network;
  • you are not on a Notion plan that includes the feature.

Does Notion AI Meeting Notes use a bot?

Notion's help centre describes capture through the Notion desktop app, which uses your system audio and microphone, and through the browser and mobile app, which use the microphone. It does not describe a bot joining the call.
