In short
Meeting notes move into Obsidian or Notion most cleanly as Markdown. For Obsidian, save the Markdown file into your vault — a vault is a folder of Markdown files, so there is nothing to import.
For Notion, paste the Markdown into a page and Notion converts headings, lists and links into blocks, or use Notion's Markdown import for whole files.
This guide covers both, how to name and organise meeting notes so you can find them later, and how to keep the labels that say which parts an AI wrote. It describes Obsidian and Notion as their documentation stands in September 2026.
Start with a Markdown export
Whatever tool took the notes, get them out as Markdown rather than as a PDF or rich text. Markdown is plain text with light formatting: it pastes cleanly, it diffs, it survives moving between tools, and both Obsidian and Notion understand it.
Decide what you are moving:
- The notes — summary, decisions, action items. This is what belongs in your notes app.
- The transcript — long, and useful only when you need the exact words. Consider keeping it out of the main notes, or in a separate folder.
- Never the audio, in a notes app that syncs through someone else's servers, unless you have decided that is acceptable for the people recorded.
Exporting meeting notes as Markdown and transcripts as text covers the export side in detail.
Into Obsidian
Obsidian stores notes as Markdown files in a vault, which is a folder on your computer. Anything you put in that folder as a .md file is a note.
Add a meeting note
- Export the notes to a file, or copy them to the clipboard.
- If you have a file, move it into your vault, for example into a
Meetingsfolder. If you copied, create a new note in Obsidian and paste. - Rename the note with the date first, so notes sort in order:
2026-09-18 Harbour planning. - Add a few properties at the top if you use them.
---
date: 2026-09-18
type: meeting
project: Harbour
people: [Ana Ruiz, Tom Becker, Marc Dubois]
---
Properties let you filter meetings by project or person later. Keep the set small; properties nobody fills in are worse than none.
Link it
Obsidian's strength is links between notes. Link the meeting to the project note ([[Harbour]]) and to people's notes if you keep them. A project note then shows every meeting that mentions it in its backlinks, which is a meeting archive without any extra tool.
Keep transcripts apart
If you keep transcripts in the vault, put them in their own folder (Meetings/Transcripts) and link from the meeting note. Otherwise every search for a common word returns every transcript.
Into Notion
Paste into a page
- Copy the notes as Markdown.
- Open the Notion page — for example, the project's meeting notes page — and paste.
- Notion converts headings, lists, bold text and links into blocks. Check tables and any callouts, which may need tidying.
Import files
For a Markdown file, or several, Notion's importer accepts Markdown: Settings › Import › Text & Markdown in Notion's sidebar, as described in Notion's import help. Each file becomes a page. Notion notes that complex tables and special formatting can degrade on import.
Use a database for meetings
If your team keeps meeting notes in Notion, a database with one page per meeting works well: properties for date, project and attendees, and the notes as the page body. Paste each exported note into a new page in the database. Filter by project to see every meeting about it.
Notion also has its own AI Meeting Notes, which transcribes calls from the Notion app straight into a page on some plans. Alternatives to Notion AI meeting notes compares it with recording on your Mac and pasting the notes in.
Keep the AI labels
If an AI wrote part of the notes, keep the label that says so. Readers treat AI output differently from notes someone has checked, and in the EU the AI Act's transparency rules make labelling AI-generated text a sensible default anyway.
A simple convention that works in both apps:
- Leave the tool's AI-generated label on anything you have not rewritten.
- When you have checked and edited a section, keep the mark that says you edited it, or add your own ("Checked by Ana, 18 Sept").
- Do not strip labels to make notes look tidier. The label is information.
Naming and organising
Whichever app you use, the rules that make meeting notes findable are the same:
- Date first in the title, in
YYYY-MM-DDform so it sorts. - One project per note, linked or tagged.
- Decisions marked the same way everywhere ("Decided:") so you can search for them.
- Action items copied into wherever you track tasks, with a link back.
The meeting notes template gives a structure that works in either app. For teams, sharing meeting notes with your team covers what to share and what to keep to yourself.
From Notey
Notey records and transcribes meetings on your Mac and has no integration with Obsidian or Notion. Moving notes is an export and a paste.
- Open the meeting in Notey.
- Export as Markdown: the summary, any single note (minutes, follow-up email and so on), or everything. The transcript on its own exports as plain text; Obsidian and Notion take it as it is.
- Choose the clipboard to paste into Obsidian or Notion, or a file to drop into your vault.
The export keeps Notey's labels: what the AI wrote is marked as AI-generated, and what you edited is marked as edited by you. The audio is not part of the export.
Notey keeps its own copy of every meeting on the Mac, searchable by what was said, with each line able to play the recording. Your notes app holds the notes you wrote up; Notey holds the source you can go back to when a note is questioned. If you take notes for clients, AI meeting notes for consultants covers the rest of the workflow around them.
Frequently asked questions
How do I get meeting notes into Obsidian?
Save them as a Markdown file inside your vault folder, or paste the Markdown into a new note. Obsidian reads any .md file in the vault, so there is no import step.
Can I paste Markdown into Notion?
Yes. Notion converts common Markdown formatting — headings, lists, bold, links — into blocks when you paste it. For whole files, Notion's import accepts Markdown; complex tables may need tidying afterwards.
Should I put full transcripts in my notes app?
Usually not. Transcripts are long and make search noisy. Keep the notes in your notes app and the transcript where it was made, or in a separate folder you search only when you need the exact words.
Does Notey sync to Obsidian or Notion automatically?
No. Notey has no integrations. You export Markdown to the clipboard or a file and put it in your vault or paste it into Notion yourself.
